Collaboration Software Preparations

Computer Requirements - This seminar will use a multi-way interactive multimedia broadcast over the Internet using Elluminate Live! and your Java enabled browser. This application supports Mac's, PC's and Unix. Click here for a 5 minute overview about how to use this new easy-to-learn software.

This application uses "Voice-over-IP (internet voice). You will need a soundcard, speakers or headset, and optionally a microphone installed in your computer, to hear and speak with the presenter and audience during the seminar. You must have a soundcard to receive audio. If you do not have a microphone, you will still be able to send questions to the presenter via text chat. If you will be in a room with multiple people, you just need to connect one Mac or PC with a mic, speakers and an LCD projector or large monitor. Pass around the mic to others to talk as desired.

Important!

It is strongly suggested that you get ready a few days ahead of time to see if your computer hardware, network and firewall policies allows the software download and operation. Firewall and administrative access privileges are the two main reasons new users have problems.

Getting Ready - The steps below should be done a few days ahead of time to ensure proper configuration. These steps may take from 5-20 minutes, depending on your Internet connection and computer speed.

  1. To view an Elluminate Live! recording or use Elluminate Live! for the first time, you must first download and install JAVA Webstart software. Please click here and follow the instructions. You can close that window after the JAVA Webstart software is loaded (you may also delete the JAVA Webstart icon placed by default on your desktop, as desired).
  2. Once you have the Java software setup (step 1), you should do a system audio receive check in a test classroom or use the audio wizard in a test classroom. This will load and start Elluminate Live!. Use any temporary sign-in name when it asks (this is only an unshared temporary classroom). During this test session, use the FILE menu in Elluminate Live! to set your connection speed (this only has to be done once). After this check you may close these windows and the Elluminate Live! application window.
  3. After you have installed the Elluminate Live! software (steps 1 and 2), consider attending the vendor's brief live Elluminate Live! demo, Mon-Fri, between 9AM and 7 PM EDT (GMT-5, sign-in required). By attending one of these demos, you can become familiar with the collaboration software, as well as verifying proper settings. You can also sign up for one of many free live demonstrations or events offered by the software vendor. Their Webinars cover a variety of topics relating to training, development, and e-learning and offer an excellent way to understand the benefits and features of Elluminate Live!
  4. Our installation of Elluminate live now supports a Spanish version. Access to the translated interface is controlled by the region setting on the user's computer. For example, to view the Spanish interface on Windows XP, you will need to change your language options to Spanish using the following steps (other operating systems will have similar settings): 
    • Go to the Windows Control Panel,

    • Once there select "Regional and Language Options",

    • Select "Spanish,"

    • Then launch into the Elluminate Live! session. If your session has language translation enabled, menus and dialog boxes will be in Spanish.

Registration - There may or may not be formal registration, please check each specific seminar description for further information. Usually we just ask for an RSVP so we know who is planning on attending.

Joining - That's it. Just remember to revisit the seminar page the day of the seminar or check the email invitation and click the "join" button shortly before the time the seminar is scheduled to begin. Webinar space is limited and available on a first-come basis.

The vClass icon link to join a Webinar only functions ~30 minutes before the seminar start time. At that time, clicking the Elluminate Live! link by that lecture will open a sign-in page. The user name entered there is preferably your first and last name, used to identify each Elluminate Live! participant.

The first time you log in to an Elluminate Live! Webinar, you may be prompted to download Java Web Start (or OpenJNLP for Mac users). You only need to do this the first time you use Elluminate Live!.

Invalid Argument Error - When joining an Elluminate Live! session for the first time, it may happen that the user receives a message stating “Unable to launch the specified application” and further details show “Invalid Argument error”. This error occurs when you first connect to an Elluminate Live! session and your temporary Internet cache is full, thus preventing the resource files from being loaded to your computer. Playback - Elluminate Live! seminars may be recorded for future playback. If you installed Elluminate Live!, no additional software software is needed to play recordings. Recorded seminars are accessed on the Past Seminar page.

Please note: Usually the above procedures are straightforward and will work for most people. However, if you are behind a firewall or do not have software install (administrator) privileges for your PC, you may need to work with your IT folks, perhaps requiring a few days notice ahead of time. Once installed, technical support should not be needed. If IT support wishes to validate these links they may call our Center at 412/648-2600.

Configuration room If you have the required software, you can join a configuration room 24/7 to ensure that you are able to connect to an Elluminate Live!™ session and to configure your audio. Click on the link (left) and enter your first name on the sign in page. Once you are in the session, follow the instructions on the whiteboard.
Demo Room Participant A CIRCL demo room is also available to let a small group of users meet to get oriented to the interface.
Demo Room Moderator CIRCL has a demonstration virtual classroom (available 24/7) to let users meet and try out the software. To practice being a moderator with added privileges to control meetings and import and delete content, one may join the Demo Room as a Moderator. When prompted enter "Moderator" as the Login Name and "guest" as the Password.
